Forlæns only processes personal data that is needed to run the website, answer enquiries, deliver agreed work, and send the newsletter to people who have asked for it.
1. Who is responsible for your data?

2. When you visit the website
The hosting service records ordinary technical log data, such as IP address, time, requested page, browser information, and response status. The data is used to operate the website, prevent abuse, and investigate technical or security incidents.
The legal basis is Forlæns’ legitimate interest in providing a stable and secure website, Article 6(1)(f) of the GDPR. Ordinary logs are normally deleted or anonymised within 30 days. Information connected with a specific security incident may be kept for longer when this is necessary to investigate or document the incident.
3. When you contact Forlæns or become a client
If you write, call, or enter into an agreement with Forlæns, the information you provide is processed to answer you, prepare an offer, deliver the agreed work, and manage the business relationship. This may include your name, contact details, organisation, correspondence, and information needed for the assignment.
Messages submitted through the contact form are checked for spam by Akismet. For this check, the form details and technical information such as the IP address, browser information, referring page, and site address are sent to Automattic. Messages classified as spam are not emailed to Forlæns and may be placed directly in the website’s trash. Read Automattic’s privacy notice for visitors to users’ sites.
The legal basis is steps taken at your request before entering into a contract and performance of a contract, Article 6(1)(b), or Forlæns’ legitimate interest in answering relevant enquiries, Article 6(1)(f). Accounting material is kept for the period required by Danish bookkeeping law. Other correspondence is deleted when it is no longer needed, normally no later than 12 months after the enquiry or collaboration has ended, unless a dispute or another legal obligation requires longer retention.
4. Newsletter
When you subscribe, Forlæns processes your email address, any name you choose to provide, the consent wording and time, signup source, confirmation and subscription status, and information about delivery failures and unsubscription. A one-way hash of the IP address and browser information may be stored locally as part of the consent record. The newsletter is sent only after you confirm the subscription by email.
The legal basis for sending the newsletter is your consent, Article 6(1)(a). You can withdraw your consent at any time by using the unsubscribe link in any newsletter. Withdrawing consent does not affect processing that took place before the withdrawal.
Forlæns uses EmailOctopus, operated by Three Hearts Digital Ltd in the United Kingdom, to manage the subscriber list, confirmation emails, delivery, and unsubscription. EmailOctopus acts as a data processor under a data processing agreement. The United Kingdom is currently covered by an EU adequacy decision. If EmailOctopus or one of its subprocessors transfers data to another country, the transfer must be covered by an adequacy decision or other valid safeguards, such as the European Commission’s standard contractual clauses.
Open and click tracking is disabled for the Forlæns newsletter. Forlæns does not use tracking pixels to record whether an individual recipient opens a newsletter.
Active subscriber data is kept until you unsubscribe or the newsletter service ends. A limited record of consent and unsubscription may then be kept for up to two years after the last newsletter or unsubscription when needed to document compliance with marketing and data-protection rules. Suppression information may be kept as long as necessary to ensure that an unsubscribed address is not added again by mistake.
5. Cookies and similar technologies
The public website does not currently use analytics or marketing cookies. WordPress may use technically necessary cookies for logged-in administrators and other functions that cannot work without them. The newsletter form is processed on the server and does not require analytics or marketing cookies.
If non-essential analytics or marketing technology is added later, this policy will be updated and consent will be requested before the technology is activated when required.
6. Data processors and recipients
Forlæns uses suppliers that process data only on documented instructions and for the purposes described here. The main suppliers for this website are Simply.com for hosting and email infrastructure, Automattic for Akismet spam filtering, and EmailOctopus for the newsletter. Personal data may also be disclosed to professional advisers or public authorities when this is necessary to establish or defend a legal claim or comply with a legal obligation.
Forlæns does not sell personal data.
7. Your rights
Depending on the circumstances, you may have the right to access your data, have inaccurate data corrected, have data deleted, restrict processing, object to processing based on legitimate interests, and receive data you provided in a structured and machine-readable format. You may withdraw consent at any time.
These rights are subject to the conditions and exceptions in data-protection law. Write to support@forlaens.com if you want to exercise a right or ask how your data is used. Forlæns may need enough information to verify your identity before completing a request.
8. Automated decisions
Forlæns does not use the personal data described in this policy for automated decisions that have legal or similarly significant effects.
9. Complaints
Please contact Forlæns first if you believe your data has been handled incorrectly. You may also complain to the Danish Data Protection Agency.
10. Changes to this policy
This policy is updated when the website, newsletter, suppliers, or processing activities change.
